Position Overview
We are seeking a sharp, organized, and tech-savvy Sales Operations Coordinator to support a growing facility maintenance company by ensuring sales requests, proposals, and operational handoffs are handled quickly and accurately.
This is a hands-on role for someone who takes ownership, catches mistakes, solves problems, and makes sure nothing falls through the cracks.
You’ll work closely with Sales and Operations to turn customer requirements into clear work orders, accurate documentation, and actionable instructions.
As you grow into the position, you’ll also take ownership of job costing and proposal preparation, using modern technology and AI-driven tools to improve speed, consistency, and accuracy.
We’re looking for someone who thinks independently, learns quickly, and follows through without needing constant direction.
What You’ll Own
Sales-to-Operations Coordination: Manage the handoff of completed sales to Operations, ensuring every job has clear instructions, accurate details, and everything needed for successful execution.
Work Orders & Documentation: Prepare, verify, and distribute work orders, contract management documents, and related paperwork with speed and accuracy.
Job Costing & Proposals: Learn to evaluate job requirements, labor, staffing, and supplies to prepare accurate estimates and professional customer proposals.
Cross-Department Communication: Work closely with salespeople, managers, and Operations to gather information, clarify requirements, and resolve issues before they become problems.
Technology & Systems: Use Salesforce and other digital tools, including an evolving AI-driven platform, to organize information, streamline workflows, and improve efficiency.
Problem-Solving & Accuracy: Identify missing information, pricing inconsistencies, and potential mistakes, taking initiative to resolve them.
Speed & Accountability: Handle time-sensitive requests, meet tight deadlines, provide timely updates, and take responsibility for completing every assignment.
What We’re Looking For
2+ years of professional office experience, ideally in operations, sales support, coordination, or administration.
Strong organizational skills with exceptional attention to detail.
Comfortable learning new software, technology, and digital systems quickly.
Ability to manage multiple priorities and execute accurately under tight deadlines.
Strong communication skills and confidence working across different departments.
Independent problem-solving ability and good business judgment.
A proactive, accountable approach with consistent follow-through.
Ability to handle pressure, accept direct feedback, and adapt quickly.
Experience with Salesforce, job costing, estimating, or proposal preparation is a plus, but not required.
The Right Personality
We’re looking for someone who:
Takes ownership: Doesn’t wait to be reminded or told what to do next.
Thinks quickly: Understands what’s needed, asks the right questions, and finds solutions.
Catches the details: Notices errors, missing information, and inconsistencies before they cause problems.
Moves with urgency: Understands that delays affect customers, sales, and operations.
Learns independently: Comfortable figuring out new systems and improving how work gets done.
Stays accountable: Follows through, communicates clearly, and takes responsibility for results.
Remains coachable: Handles feedback professionally and continuously improves.
Why This Opportunity?
You’ll join a growing company where your work directly impacts operational efficiency, customer satisfaction, and business profitability.
This position offers the opportunity to develop from managing critical sales-to-operations workflows into owning a broader job costing and proposal process, supported by new technology and practical business experience.
If you’re sharp, resourceful, detail-oriented, and enjoy taking responsibility for getting things done right, we’d like to hear from you.
